The Complete Monthly Bookkeeping Checklist for Small Businesses

Consistency is the cornerstone of good bookkeeping. By completing the same set of tasks every month, you ensure that your financial records stay accurate, your cash flow remains visible, and tax season never catches you off guard. Here's the complete monthly bookkeeping checklist that Recapture Bookkeeping follows for every client.

Week 1: Transaction Management

Record and Categorize All Transactions

Every transaction from the previous month needs to be recorded in your accounting software and assigned to the correct account category. This includes:

  • Bank deposits and withdrawals
  • Credit card charges
  • Payment processor transactions (Stripe, Square, PayPal)
  • Cash transactions (if applicable)
  • Petty cash expenses

Review Uncategorized Transactions

Most accounting software will auto-categorize some transactions, but these auto-categorizations aren't always correct. Review every auto-categorized transaction and fix any that were misclassified.

Collect Missing Receipts

For any expense over $75 (or any expense your CPA has flagged as requiring documentation), ensure you have a receipt on file. Digital receipts are perfectly acceptable — snap a photo or save the email receipt.

Week 2: Reconciliation

Reconcile All Bank Accounts

Match every transaction in your books against your bank statement. The ending balance in your accounting software should match the ending balance on your bank statement exactly. If it doesn't, find and fix the discrepancy before moving on.

Reconcile Credit Cards

Same process as bank accounts — match every transaction and verify the ending balance matches your credit card statement.

Reconcile Payment Processors

If you use Stripe, Square, PayPal, or any other payment processor, reconcile those accounts as well. Pay special attention to processing fees, refunds, and chargebacks.

Week 3: Payables, Receivables, and Payroll

Review Accounts Payable

Review all outstanding vendor bills. Ensure upcoming payments are scheduled and that you're taking advantage of any early payment discounts. Run an AP aging report to identify any bills that are past due.

Review Accounts Receivable

Check for any outstanding customer invoices. Send reminders for invoices that are 30+ days overdue. Run an AR aging report to identify collection issues early.

Process Payroll

If you run payroll, ensure all hours are recorded, commissions are calculated, and payroll is processed on time. Verify payroll tax withholdings and file any required payroll tax returns.

Week 4: Reporting and Review

Prepare Financial Statements

Generate your three core financial statements for the month:

  • Profit & Loss Statement — compare against budget and prior periods
  • Balance Sheet — review for accuracy and completeness
  • Cash Flow Statement — understand where your cash went

Review Key Metrics

Look at your key financial indicators:

  • Gross profit margin
  • Net profit margin
  • Current ratio (current assets ÷ current liabilities)
  • Days sales outstanding (how quickly you collect receivables)
  • Cash burn rate (if applicable)

Archive and Backup

Save a copy of your monthly financial reports and bank statements. Cloud storage is ideal — it's accessible, searchable, and protected from hardware failure.

Quarterly Add-Ons

In addition to the monthly checklist, add these tasks every quarter:

  • File quarterly payroll tax returns (Form 941)
  • Review and adjust estimated tax payments
  • Perform a high-level review of your chart of accounts for accuracy
  • Meet with your CPA or accountant for a quarterly check-in
